Why one platform

Today you pay for two systems that don’t talk to each other.

A tax engine that can’t run the practice, and a practice tool that can’t touch the return. So firms buy both — and the client record lives in neither.

BILL №1 · PER SEATDrake / Lacerte / UltraTax

Prepares and e-files.

No client portal, no pipeline, no billing, no AI intake. You buy TaxDome on top.

+
BILL №2 · PER USERTaxDome / Canopy / Karbon

Runs the practice.

Cannot prepare or file a return. You still pay per user, and still pay for Drake.

=
ONE BILL · BY RETURNStaxscout.ai

Runs the practice, prepares the return — and files it, here or in your software.

  • Practice — portal, pipeline, billing, one inbox
  • Preparation — complete draft, source-linked
  • Filing — IRS MeF here, or export to your engine
The route is yours

Every return travels the same rail — until the last switch.

Collect → prepare → review are identical for every return. At the junction, the reviewer picks the track: transmit from TaxScout, or export to the engine you trust.

AI intake — no templates, no questionnaires

It works out what each client needs to be asked, asks only that, and chases what’s missing.

How a return moves

AI prepares. Your reviewers make the calls.

TaxScout prepares the work. Your reviewer must approve it before TaxScout sends, files, or shows anything to a client.

01 / Collect

AI intake. No templates, no questionnaires.

You don’t build organizers or questionnaires. TaxScout works out what each client needs to be asked — from last year’s return, their situation, and what has already arrived — and asks only that, in a conversation, in your branded portal. Every upload is classified as it lands. If a 1099 is missing or a statement is for the wrong year, TaxScout chases it and sends the reminders itself. You stop chasing clients; you approve what goes out.

  • Questions adapt to each client — no templates to build
  • Documents classified the moment they land
  • Missing items chased automatically
  • Reminders and follow-ups sent for you, with your approval
app.taxscout.ai
02 / Prepare

TaxScout prepares the return for you.

It reads the client documents, extracts every field, cross-checks the package, and drafts the complete return with every source value linked to the page it came from. Your preparer checks a finished draft instead of typing it in.

  • Complete draft return, not a blank organizer
  • Click any value → source page
  • Confidence per field, exceptions first
  • Workpaper binder with TOC
app.taxscout.ai
03 / Review

You review exceptions, not every field.

Low-confidence values, cross-document mismatches and open elections land in one queue, with the source page beside each one. Research questions are answered with live IRS citations. Accept, correct or escalate — every decision is recorded on the return.

  • Accept / correct / escalate per field
  • Cited answers, inside the return
  • Prior-year comparison
  • E-sign 8879 & engagement letter
app.taxscout.ai
04 / Sign & file

Nothing files until your reviewer says so.

The client e-signs the 8879. Then file directly from TaxScout under your EFIN, or download the import file for your tax software and file there. Acknowledgments and rejects come back to the same return either way.

  • Federal + state e-file from TaxScout
  • Or export package for your engine
  • Acks and rejects on the return
  • Pipeline, billing and one inbox around it

What TaxScout handles
  • Reads the package and checks it against last year
  • Classifies and extracts every document
  • Drafts the complete return, every value linked to its source
  • Flags open items and drafts the client chase
  • Assembles the workpaper binder and the export package
  • Transmits to the IRS and states when you choose to file here
What your firm controls
  • Reviews diagnostics and decides every exception
  • Makes the tax elections and the judgment calls
  • Approves client communication before it goes out
  • Chooses where each return is filed — TaxScout or your software
  • Signs the return under your own PTIN and EFIN
  • Owns the audit trail — exportable on demand
The review contract

Nothing reaches the return without a reviewer’s decision.

Every extracted value is shown beside the page it came from. TaxScout surfaces low-confidence fields, missing information and validation exceptions; the CPA decides what moves forward — and where it gets filed.

SourceThe original PDF, on the page the value came from.
Extracted valueWhat TaxScout read, shown beside the document rather than in a separate screen.
ConfidenceHow sure the extraction is, so low-confidence fields surface instead of hiding in a total.
ChecksCross-document checks and math rules that passed, failed, or need a decision.
DecisionAccepted, corrected, escalated — recorded against the return.
One return, end to end

See one return move from client documents to an accepted filing.

Fourteen documents in. Three exceptions raised. Three decisions a person made. One signature — and a filing path the firm chose.

THIS IS A SYNTHETIC PRODUCT DEMONSTRATION BASED ON A REPRESENTATIVE WORKFLOW. IT IS NOT A MEASURED CUSTOMER RESULT.
01Client

The client uploads what they have

Fourteen files arrive through the portal over nine days: two W-2s, a consolidated brokerage statement, a mortgage interest statement, childcare receipts, and a photograph of a 1099-INT taken on a phone.

02TaxScout

Documents are classified and read

Each file is sorted by document type and its fields are extracted into workpapers. Every value keeps a link back to the page it came from.

03TaxScout

The expected-document list closes

Last year’s return listed a K-1 that has not arrived this year. It stays on the outstanding list, and a client request is drafted for the CPA to approve.

04TaxScout

The draft return is prepared

TaxScout calculates the federal 1040 and the two state returns and drafts them in full. Three exceptions are raised: the phone-photo 1099-INT extracts at low confidence, the brokerage RSU basis omits compensation already taxed on the W-2, and state wages disagree between the two W-2s.

05CPA

The CPA decides each one

The 1099-INT is confirmed against the source pane and accepted. The RSU basis is corrected, with the reason recorded. The state wage difference is a genuine part-year move and is documented as such. The return recalculates; the diagnostics clear.

06CPA

The client signs

The final return and Form 8879 go to the client for e-signature through the portal. Nothing is transmitted until the reviewer’s approval and the signed authorization are both on the return.

07Your choice

Filed — here, or in your software

Path A: the CPA files directly from TaxScout under the firm’s EFIN. Federal accepted in four minutes; Massachusetts accepted. Path B: the firm downloads the import file and the workpaper binder, and calculates and files in Drake or CCH as it always has. The filing status is recorded back on the client record either way.

Regulatory intelligence

When a rule changes, know what your firm and clients need to do next.

Most tax research starts when someone asks a question. TaxScout also monitors regulatory changes and connects them to firm obligations and affected clients.

Client opportunities

How the monitoring works, and what it does not cover →
Security

Your clients’ data never leaves the country.

You sign the return with your license. Here’s exactly how the data behind it is protected.

US-only hostingTaxScout hosts customer data in the United States. Client data does not leave the country.
Data protectionClient documents and tax data are encrypted during transmission and while stored, and the most sensitive identifiers are held under additional protection.
Tenant isolationEach firm operates in a logically isolated workspace, and access is assigned according to responsibility.
Never trained onCustomer data is not used to train shared models.
Full audit trailMaterial actions involving documents, client data, review, filing, and financial information are recorded with the actor and timestamp.
§7216 by designSending return data to offshore preparers requires signed §7216 consent from every client. TaxScout keeps intake, extraction, preparation, and filing onshore — so that conversation never has to happen.
Regulatory posture

Built for IRC §7216 and Circular 230, from day one.

We don’t just take the manual work off offshore prep teams — we help reduce the compliance exposure on the firm owner. Every return stays inside US-based infrastructure built around the disclosure, consent and due-diligence standards regulators just put practitioners on notice about.

Hallucinated figures & citations§10.22 · §10.37

The IRS named the risk.

A layered validation pipeline with deterministic math and click-to-source — source values trace back to the document, computed values to the calculation behind them.
Client data mixed across mattersIRC §7216 · §10.51

The IRS named the risk.

An isolated, US-based secure contour — encrypted in transit and at rest, with per-firm data isolation. Your data is never pooled across clients or used to train a shared model.
Generic, “homemade” AI§10.35

The IRS named the risk.

Purpose-built for tax — deep deterministic validation on the forms that matter — not a general open model pointed at returns.
No firm-wide controls§10.36

The IRS named the risk.

A role-based permission model and a complete, exportable audit trail — documented controls you can produce on demand.
Opaque, unconscionable billing§10.27

The IRS named the risk.

Transparent, published pricing — the AI efficiency is priced in, with no hidden per-task surcharge.
